Introducing Timesheets

Power Framework PPM's Timesheet module allows team members to capture actual hours worked against projects as well as non-project activities.

Approved timesheets will post those hours  to the related projects, where they will be converted into actual cost. Those actuals can be tracked against forecasts to monitor variances.

High-Level Processes

Here is a high-level overview of the processes supported by the Timesheet module.

Timesheet Entry

Team Members will enter weekly timesheets. Project related rows in their timesheet will be shown automatically, reflecting those projects that have previously added demand for the respective Team Member in the relevant time period within the Resource Demand grid.

Timesheet users can also enter time against non-project activities as well as non-productive time such as sickness or holiday. 

The specific categorisation of activities and timesheet columns is the result of various configurations that are applied to set up this feature to match the data requirements of the organisation.

Timesheet Submission & Approval

Timesheets are submitted for approval. They may be approved (or rejected) by a timesheet manager defined for the Team Member. Alternatively, Team Members can be set up to have their timesheet auto-approved, without manual intervention by a reviewer.

A timesheet may be recalled to make corrections, upon re-submission the approval process is initiated again.

Impersonation

Timesheet managers can be set up to enable impersonation of Team Members, i.e. allowing them to enter timesheets on their behalf.

Timesheets Updating Projects

When a timesheet is approved, the actual hours are posted to the related projects. The project owner can see the hours captured, as well as the actual cost calculated as a result. 

Dispute Process

A project manager may disagree with the hours (and resulting cost) posted to their project. A dispute feature is available, allowing them to flag individual timesheet lines they disagree with. Timesheet with disputes can be identified through reporting, to allow dispute resolution (e.g. through recalling and correcting the timesheet).

Timesheet Reporting

A variety of reports are provided for timesheet governance (e.g. identifying missing timesheets) as well as analysis of actual hours captures.

Timesheet Administration

Timesheet administrators have control of timesheet periods, which may be open or closed.
