Tracking Key Risk Indicators

KRI values are recorded on a regular basis, at a frequency that makes sense for the respective KRI (such as monthly). For this purpose KRI Tracking records are created in the system. By default these are added manually by a user, who would retrieve the data from appropriate sources. However, it is possible to create Power Automate workflows that could connect to external data sources to retrieve the data and create KRI tracking records automatically. These automations would be custom-configured for your organisation. 

Working with KRI Tracking Records

Details of the most recent tracking record are shown in a separate box next to the KRI maintenance form.

Based on the most recent value tracked, the KRI status values shown at the top have been calculated.

Click on the Tracking tab to navigate to the full tracking screen. At the top it shows a trend line of tracking values over time. The lower section shows the list of tracking records recorded previously.

Adding/Editing KRI Tracking Records

Click on the + New button above the KRI Tracking list to add a new Tracking record or edit an existing record in the list.

Fields displayed in the box on the left are display only.

Note that the Name field will be system generated upon save. Other fields show details of the KRI being tracked.

To complete the KRI Tracking record, enter the following fields:

Field Comment
Tracking Date The date when the KRI value was measured
Value

Enter the KRI Value measured

(Note that the field label indicates the Metric type, e.g. it shows suffix "%" if the Metric Type for the KRI is Percentage.)

Comments A note to provide explanation or context to the value entered.

Please note:

When editing a KRI Tracking record, only the Comments field may be changed. If you need to modify other values, then you need to delete the whole record and enter it again. 

Status Calculations

Using the most recent tracking Value entered, the system relates this to Target Value and Target Tolerance defined for the KRI, to calculate the following values (shown at the top of the KRI screen):

Field Comment
RAG

Calculated as Red/Amber/Green as follows:

  • Red: if Value is outside Target Tolerance
  • Amber: if Value is within Target Tolerance
  • Green: If Value meets Target value or is either lower (if Measurement defined as 'Less is better') or higher (if Measurement defined as 'More is better')
RAG Trend

Compares the RAG calculated to the previous RAG, to calculate the RAG Trend as either Worse, Even, or Better.

Target Status Calculated as 'Exceeds Target', 'On Target' or 'Below Target'
