Change Report View Options

Reports can be viewed on many different devices, with varying screen sizes and aspects.

By default, Power BI sets reports to Fit to page, which means you don't have to scroll, but the type might be small. On the View menu, select Actual size to view the information on the report at full size, but be aware that you might need to scroll.

Select the View option that works best for your screen size, the audience you are presenting to, and your personal preference. To meet your accessibility needs, use the High contrast colours option.

Working with Filters

There are many different ways to filter data in reports, either by applying filters to individual visuals or to the report overall.

All visuals on a report page are interconnected. If you select a data point on one of the visuals, all the other visuals on the page that contain that data will change based on that selection. This is called “Cross-filtering”.

Note: You can apply cross-filters from multiple visuals by pressing the Ctrl-key while making multiple selections (without the Ctrl-key, a new filter selection will replace the previous one and only the latest is applied as a single filter).

Working with Bookmarks

Bookmarks capture the currently configured view of a report page, including filters, slicers, and the state of visuals. When you select a bookmark, Power BI takes you back to that view.

There are many uses for personal bookmarks. Say you discover an interesting insight and want to preserve it - create a personal bookmark so you can return later.

Need to leave and want to preserve your current work, create a personal bookmark. You can even make a personal bookmark your default view of a report, so each time you return, that view of the report page opens first.

Add a Personal Bookmark

To add a bookmark (having applied filters etc. that you wish to preserve), click on ‘Add a personal bookmark’ in the Bookmarks dropdown menu.

Type in a meaningful name for this bookmark and click Save.

If you ticked ‘Make default view’, then next time you navigate to this report it will be shown with the settings of this bookmark applied.

Work with Multiple Personal Bookmarks

Click on ‘Show more bookmarks’ in the Bookmarks dropdown menu, to reveal a sidebar listing Personal bookmarks as well as Report bookmarks.

Expand Personal bookmarks to navigate between them or update them (click … next to a bookmark to reveal options to update or delete it).

Note that Report bookmarks are for internal use in the report, and you should avoid clicking on them.

Reset Your Changes

Click Reset to default (at the top of the page) to remove all your changes in the report (i.e. filters or bookmarks you applied) and set it back to the default view of the report.

Add Comments

You can add a personal comment or start a conversation about a report with your colleagues.

Export to PDF/PowerPoint

Please note that these essentially export images of the report page. If the report features data that is only visible through scrolling or expanding a visual, then this data will not be visible in the exported content.

Printing

Report pages can be printed one page at a time.

Select File > Print this page to print the current page.

As noted for the Export feature above, this will print an image of the report page – any hidden data accessible only through scrolling or expanding a visual will not be shown.
