Power Framework Reports

Below introduces at a high level the standard reports provided by Power Framework.

Please note that the report samples shown in this document represent standard report templates. Your own reports will look different as they will have been personalised to reflect your own specific data content and reporting needs.

Portfolio Demand

This report shows projects in the Demand phase, i.e. those yet to be approved for delivery. It aims to support the process of demand prioritisation and decision making in terms of selecting Projects for delivery.

This report uses buttons to navigate between pages.

Homepage (Portfolio Section)

Shows totals of all Project requests.

Allows selection of Portfolio to drill through to.

Portfolio Demand

Use this button to navigate to this page from within the report.

Provides an overview of Projects in various Demand stages within the selected Portfolio. Also illustrates how strategic drivers are weighted in this Portfolio, which impacts the prioritisation of Projects.

Requests in Concept

Reviews Project requests in the Concept stage, which have been scored against strategic drivers. These are listed in the table at the bottom.

By default, these are sorted by ROI indicator, which is calculated based on Proposed Budget and Strategy Score Weighted. The highest ROI indicator indicates the Project with the best Investment/Weighted Score ratio.

Tips
  • Sort the table by ‘Days in Pipeline’ column to see the latest or oldest request.
  • Use button to show Project cards – these contain the URL to the Project record in the Power Framework app.

Ideas

Shows Projects at the Idea stage, the first stage of the Project lifecycle.

Click on the Project cards to reveal details.

Portfolio Delivery

This report shows Projects in the Delivery phase, i.e. those approved for Delivery. It provides a variety of report pages to support Delivery governance.

This report uses buttons to navigate between pages.

Click this button at the top to reveal a timeline view of Projects, showing RAG history at Project level.

Shows RAG (Red/Amber/Green) status history of Programmes and Projects over time.

Illustrates how many were active in delivery over time and their status split.

The stacked bar chart at the top shows how many Programmes/Projects were submitting status reports each month (if a Programme/Project has multiple status reports within a given month, only the last one is considered for this report).

Tip
  • The ‘Months at Red Status’ bar chart in the bottom right identifies those Programmes/Projects that were at Red status for longest.

Programme & Project Status Reports

Status Reports are accessed by right-clicking on a Programme/Project, then clicking Drill through > Programme/Project Status.

The Delivery Report described above also allows you to select the Programme/ Project by clicking on it in the list, then click 5_heart.png in the sidebar.

Programme Status Report

Summarises the current status of the programme.

Activities and RAG status are derived from the Status Report record related to the most recent Reporting Period.

Right-click on any Project Name shown in the report to drill through to the Project Status report.

Resources

This report has various pages to analyse resource demand versus capacity.

Demand by Resource Role

Provides an overview of utilisation by Resource Role, for a default time window of the next 12 months.

 

Tips
  • Top left visual provides a handy ‘Months Overallocated’ value which provides a pragmatic indication of how many months team members of a given role will be overallocated.
  • Drill on Rows in the bottom table to break down demand by Programme/Project and Team Member.
  • Use Period Start Date filter (in Filter sidebar) to modify the time window of the report.

Demand By Project

Analyses demand by project, to help you understand which projects are most resource hungry.

Availability

Provides a heatmap of remaining capacity by resource role, which can be expanded to individual Team Member. Lets you identify at a glance which months have capacity shortfalls.

 

Tips
  • Use the Drill on Row feature to expand all Roles to Team Members.
  • Hover over the heatmap to see a ‘tooltip’ analysis of Demand vs Capacity, to explain the remaining capacity value shown in the respective cell.

Portfolio Investment

The pages in this report analyse budget, forecast and actual cost for portfolios, programmes and projects.

Portfolio Budget

The purpose of this report page is to show Portfolio budgets year on year and how they are consumed by programmes.

The table in the bottom right subtracts Programme budgets from Portfolio budgets to calculate ‘Portfolio Remaining Budget’ (and the resulting amount for the current year is shown as the ‘Unallocated This Year’ figure in the top left).

Programme Cost Analysis

This report page looks at cost (which represents ‘cost to complete’, being the sum of actual cost so far + future forecast cost).

It shows total cost by programme, how this is broken down by Capex/Opex as well as year, budget category and cost category.

The table in the bottom right provides year on year cost totals in a hierarchical matrix grouped by Portfolio, Programme, Project and Cost Category.

Project Cost Analysis

This report page provides further detailed cost analysis, this time at project level.

Budget/Forecast Variance

This report compares allocated budgets (i.e. allocated by programmes to projects) with their forecasts, to identify shortfall and surplus variances.

 

Tip
  • Various visuals have hover-over ‘tooltip’ reports that break down forecast figures to cost sub-category level.

Funding Sources

This report page analyses Portfolio budgets by Funding Source. It shows which Funding Sources have funded which Portfolio year on year, funding totals by source, funding breakdown by Budget Category and Capex/Opex.

Lessons Learned

This report shows all active Lessons Learned on file.

These are displayed as cards that you can click on to expand their full content.

 

Tip
  • The Search box at the top enables word search across all fields within a Lesson record.

Compliance and Adoption

Compliance Dashboard

Use this button to flip to a report view that analyses compliance by project manager.

All reports in the system rely on consistent data maintenance and timely updates. This report is used to monitor any non-compliant or overdue conditions that compromise the quality of the data so that the PMO can instantly identify these and focus their effort on working with users to improve tool adoption and process maturity.

Document Compliance

Power Framework allows the definition of document standards, i.e. rules as to the standard project documents that should be on file with their expected approval status.

This report page analyses how projects comply with these rules, identifying the Red/Amber/Green status for each project and expected document.

 

Tip
  • In the list of documents, if the document is on file click on the PF_-_Guide_to_Standard_Reports_-_Link_Icon.png icon to navigate to the document folder of the project where this document can be found.
  • In the Filter pane, use filters such as ‘Project Track’ and ‘Current Stage’ filters to focus on a specific document compliance context.

Portfolio Snapshot

Power Framework has the ability to take regular snapshots of key data items and store them with timestamps so that value changes can be monitored over time. A series of report pages are available to report on these snapshot data sources.

Snapshot Feed

This report lists all important data field changes as individual log messages.

Note that the Dates shown are the dates the snapshots were taken – not the date when the data value was originally modified in the system.

Snapshot Reports (Project, Milestone, Issue, Risk, Change Request)

These report pages show (as a page for each individual table) the list of fields included in the snapshot and their values at a given snapshot date.

A red highlight visually identifies where a field value had been changed compared to its previous snapshot value.
