Please note: this feature requires the installation of specific Azure services and therefore may not be available in your environment.
This function enables the import of Cost Transactions so that costs can be received into the Project Investment grid from external sources.
Typically these transactions would have been entered into a financial accounting system, then exported from there at month-end to import into Power Framework. For example, these might be vendor invoices received for the project.
Using the Import Feature
Accessing the Import Function
You can run this function from the Administration area of Power Framework using the Cost Transactions option.
It will list import jobs that have previously been created.
Creating a New Import Job
Click this button at the top and fill in this form:
|
Comment |
Name | Provide a unique name for this Import job which will help you identify it later. |
Log Successes | Change to Yes if all successfully imported Cost Transactions should be logged. |
Comments |
Any notes for future reference. |
Click Save at the top to progress to the next stage.
Selecting the Import File
Use this feature to select the Excel file that contains the Cost Transactions to be imported (see the Import File Template section for information about the required format).
Processing the Import File
Click this button at the top to submit this job to a job queue. The Status of the job will change to ‘Submitted’.
Once the job has completed, its status will change to either ‘Failed’ or ‘Succeeded’.
Dealing with a Failed Import
The Import function will validate the complete import file and reject the whole file if any errors are found.
For an import with status ‘Failed’ you can view the list of errors in the Invalid tab:
Click on any of the rows to show the full detail of the values in the import record, together with the Line number and error message. This will allow you to diagnose the issue and correct the data in the import file.
You can then create a new Import job for the corrected file.
Successful Import
If there are no errors in the import file then the transactions in the file will be imported and the status of the Import job will show ‘Succeeded’.
You can now view the imported transactions in the Cost Transactions tab:
Import File Template
The import function works with a fixed format Excel import file.
A template Excel file can be downloaded here. This has detailed explanations of the expected columns (see separate tab).
Codes Used to Link Transactions to Projects/Cost Sub-categories
The import format features the ‘Destination Code’ column to link a transaction to a specific project. This corresponds to the project ID shown in the Summary tab of the project:
To post to a specific Cost Sub-category, it must stipulate a code which is defined in the ID field of a Power Framework Cost Sub-category parameter record:
Import Results
The imported transactions will populate the Investment grid of Projects with either Forecast or Actual amounts for a given Cost Sub-category and period.
This works the same as Cost Transactions created by Resource Demand (as described in Investment, Project, Cost Transactions).
